Summary

The Chart Procurement Specialist is responsible for collecting medical records from various provider offices, hospital systems and record retention vendors.  In addition, this role is responsible for maintaining detailed records on retrieval rates and record prioritization.  The ideal candidate must be responsible and demonstrate special care and handling when obtaining medical records

Essential Duties & Responsibilities

  • Chart Procurement: Obtain medical records in a readable format from various EHR systems within our network in support of both internal and external audits and annual chart review campaigns.
  • Data Validation: Ensure medical records contain the required information necessary for complete and effective chart reviews.
  • Storage and Retention: Folder structure must be intuitive and easily accessible and navigable for fast and effective retrieval.
  • Compliance Assurance: Maintain adherence to CMS’ official guidelines for coding and reporting and organizational policies.
  • Reporting: Prepare and submit detailed reports on retrieval rates, obstacles and barriers, and make recommendations to leadership.

Qualifications

Education & Certifications:

  • High school diploma or equivalent (required); Associate’s or Bachelor’s degree in Health Information Management or related field (preferred).
  • Active certification as a Certified Risk Adjustment Coder (CRC), Certified Professional Coder (CPC), or Certified Coding Specialist (CCS) preferred.

Experience:

  • Minimum 2-3 years of experience in medical record retrieval with a broad understanding of risk adjustment and RADV audits.
  • Familiarity with EHR systems and medical record retention policies.
  • Effective interaction with provider offices, hospital systems, and record retention vendors

Skills:

  • Strong organizational skills and the ability to manage multiple projects
  • Tech savvy and the ability to navigate various EHR systems
  • Exceptional attention to detail and analytical skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage time effectively.
  • Proficiency in Microsoft Office Suite and coding software (e.g., 3M, Optum).

Preferred Qualifications

  • Experience in RADV audits for Medicare Advantage plans.
  • Knowledge of healthcare compliance regulations and HIPAA.
  • Prior experience working in a payer or provider environment.
